Retreat planning and production for practitioners, facilitators and hosts — from an early idea that needs direction to a retreat ready for full production.

From Concept to Experience

Coastal Modern House

A great retreat is more than a beautiful destination.

It is the thoughtful coming together of place, people, purpose and experience.

VAYA Retreat Studio works behind the scenes to bring those pieces together — shaping retreat concepts, sourcing destinations, developing experiences and creating the details that allow guests to simply arrive and be present.

Built for the people holding the vision

Yoga teachers and studios. Wellness practitioners, coaches and movement professionals. Facilitators and creatives with a community ready to gather — and first-time hosts as much as established ones.

You have the expertise and the people. What's often missing is the time, the destination knowledge or the operational structure to build a retreat that runs well. That's the part VAYA takes on.

Retreat Compass

For hosts who want expert guidance while managing much of the planning themselves.

Concept and positioning · destination and property recommendations · format and group size · initial budget and pricing guidance · feasibility · a clear roadmap forward

You have the vision. VAYA helps shape the retreat, destination and direction.

Retreat Collaborative

For hosts who want VAYA to research, source and coordinate behind the scenes while they stay close to the key decisions.

Destination and property sourcing · supplier and experience sourcing · budget development · retreat schedule · transportation · launch preparation

We build the retreat with you.

Retreat Production

For hosts who want comprehensive planning and production, including on-the-ground coordination.

Full planning and supplier management · guest logistics and pre-arrival · on-site coordination · issue resolution · post-retreat reconciliation

You lead the experience. VAYA manages the details.

Every engagement is scoped individually, so the details are agreed before any work begins.

Three ways to work together

Every retreat needs a different level of support. Choose the one that fits where you are.

Where the lines are drawn

VAYA handles the structure underneath the retreat — destinations, properties, suppliers, logistics and, at the Production level, the days themselves.

You lead your teaching and programming, your community, and how the retreat is shared with your audience.

Marketing, social content and design sit with the host by default, and can be added to any engagement as a paid service.

How it unfolds

01 · A conversation

02 · A defined scope

We talk through your practice, your people and the retreat you have in mind. No proposal yet — just a clear picture.

You receive a proposal shaped to the level of support that fits, with deliverables, timeline and investment set out plainly.

03 · The work begins

04 · Your guests arrive

VAYA builds alongside you at the level you've chosen — through to departure day, if that's what the retreat needs.

You lead the retreat as it was designed. VAYA supports you on the ground or behind the scenes, then helps close it out and plan what comes next.

Questions hosts ask.

Have a retreat in mind?

Tell me a little about your practice and the retreat you're imagining. Early ideas are welcome.

I read and reply to every inquiry personally, usually within two business days.
